Designations on Receipts
This article explains how a gift's designations (the funds or programs it supports) get onto a receipt, and how to receipt gifts by designation. It is written for Salesforce administrators and the staff who run receipting.
Two Ways to Show Designations
In Nonprofit Cloud, a gift's designations are Gift Transaction Designation records that link the gift to one or more Gift Designations, each with an amount. A receipt has two text fields that can show them:
- Designations: the designation names, for example "Building Fund, Scholarships".
- Designations with Amounts: each name with its amount, one per line.
There are two ways to fill them:
| Option | How it works | Use it when |
|---|---|---|
| Concatenate Designations (a setting) | The app reads the gift's Gift Transaction Designations and fills both receipt fields itself. | You use Nonprofit Cloud's designations and want them listed on receipts. |
| A field mapping | You map a field of your own, such as a text field on the Gift Transaction, to the receipt's Designations field. | You keep designations somewhere else, or want your own wording. |
Using Concatenate Designations
Turn on Concatenate Designations in Receipt Settings > General Settings. It is off at install. From then on, every new single or consolidated receipt created from gift transactions gets:
- Designations: each designation's name once, sorted by name and separated by commas.
- Designations with Amounts: each designation's name with the total of its amounts across the receipt's gifts, one per line, sorted by name. The lines are separated by HTML line breaks, which print as new lines on the .pdf but show as
<br/>on the receipt's record page.
On a consolidated receipt, a designation that appears on several gifts is listed once, with its amounts added up.
Amounts in English and French
The amounts follow the donor's Receipt Language:
- English: "Building Fund: $1,250.00"
- French: "Building Fund : 1 250,00 $"
The designation names themselves aren't translated. They print as they are named in Salesforce.
Long Lists Are Shortened
Each field holds up to 255 characters. If the list is longer, the app keeps as many complete entries as fit and ends the list with "...". An entry is never cut in half, unless the first one is longer than the field on its own.
The setting replaces any mapping to these fields. When Concatenate Designations is on, the receipt's Designations field is always set from the Gift Transaction Designations, after field mappings are applied. A gift with no designations gets blank fields, even if you have a mapping. Use one option or the other, not both.
What Isn't Affected
- Existing receipts: turning the setting on or off doesn't change receipts already created. Only new receipts get designations.
- Gift commitment receipts: receipts created for a gift commitment, such as a recurring donation, don't get designations from this setting. Use a Gift Commitment field mapping if you need them.
- The Gift Transaction's own Designations field: this text field isn't filled by the app. It's only copied to the receipt if you map it.
Printing Designations on the Receipt
Add the merge fields to your template with the template editor:
{!dryad__Receipt__c.dryad__Designations__c}for the list of names{!dryad__Receipt__c.dryad__Designations_with_Amounts__c}for the names with amounts, one per line
A blank field prints nothing, so to print a heading only when there are designations, see the conditional text how-to in the Field Mapping article.
Receipting by Designation
The Batch Receipts screens for creating receipts can select gifts by designation. Choose Designations as the filter and pick one or more Gift Designations:
- Single and consolidated receipts for non-recurring donations: gifts that have a Gift Transaction Designation for one of the selected designations.
- Receipts for recurring donations: gift commitments whose default designations include one of the selected designations.
A gift split across several designations is picked up if any one of them is selected. Its receipt still lists all of its designations.
Troubleshooting
| Symptom | Check |
|---|---|
| Receipts have no designations | Check Concatenate Designations is on, and that the gift has Gift Transaction Designations. Receipts created before you turned it on aren't updated. |
| Your mapping to Designations stopped working | Concatenate Designations is on and overwrites it. Turn the setting off, or remove the mapping. |
| The list ends with "..." | It was longer than 255 characters. Print fewer details, or shorten the designation names. |
| Recurring donation receipts have no designations | The setting only applies to receipts created from gift transactions. Add a Gift Commitment field mapping. |
| Amounts are in the wrong format | The format follows the donor's Receipt Language on their Account. |
